Please read the following conditions carefully before submitting your application as they apply to all grants made by the RCMP Foundation. By applying and if you are awarded an RCMP Foundation grant, you accept, in full, all conditions contained herein.
SPONSORSHIPS
The RCMP Foundation cannot sponsor programs, projects or events that are also sponsored or supported in any way by tobacco or alcohol companies.
PURPOSE AND ADMINISTRATION
The grant shall be used exclusively for the purposes specified in the grantee’s proposal, as approved by the Foundation.
The grantee will directly administer the project or program being supported by the grant and agrees that no grant funds shall be disbursed to any organization or entity, other than as specifically set forth in the grant proposal referred to above. Disbursement of the grant funds must adhere to the specific line items in the grantee’s approved grant budget. Any deviation from this or if there are excess funds, the Foundation must be made aware immediately. Any use of funds outside the approved budget must be authorized in writing by the RCMP Foundation.
ACCOUNTING AND AUDIT
The grantee shall indicate the grant separately on its books of account. A systematic accounting record shall be kept by the grantee of the receipt and disbursement of funds and expenditures incurred under the terms of the grant. Further, substantiating documents such as invoices, canceled cheques, and receipts, shall be retained in the grantee’s files for no less than four years after the expiration of the grant period. The grantee agrees to promptly supply the Foundation with copies of such documents upon the Foundation’s request.
The grantee agrees to make its books and records available to the Foundation at reasonable times. The Foundation, at its expense, may audit or have audited the books and records of the grantee insofar as they relate to the disposition of the funds granted by the Foundation, and the grantee shall provide all necessary assistance in connection therewith.
REPORTS
Narrative and financial reports shall be supplied by the grantee to the Foundation within four months of the receipt of the grant. The narrative report shall include a report on the progress made by the grantee towards achieving the grant purposes and any problems or obstacles encountered in the effort to achieve the grant purposes. The financial report shall show actual expenditures reported as of the date of the report against the approved line-item budget. Such reports shall be retained in the grantee’s files for not less than four years after the expiration of the grant period. Grant applicants must report to the Foundation if their project has not started within one year from the date of receipt of a grant. If the scope or timelines of the project change in any material way, the grant from the RCMP Foundation should be returned promptly.
PUBLIC REPORTING AND PHOTOGRAPHS
The Foundation will report the grant, if made, in its next Annual Report. The Foundation encourages the issuing of press releases on individual grants. The grantee may issue its own press announcement but if possible shall seek collaboration of the announcement from the Foundation before distribution. In addition, a Program Summary briefly describing the grantee’s activity will be used by the Foundation to respond to inquiries and for other public information purposes.
The grantee shall send to the Foundation copies of all papers, manuscripts, and other information materials that it produces that are related to the project supported by the Foundation.
In addition, the organization receiving the funding from the RCMP Foundation must provide the Foundation with a post-event report outlining the success of the program/event/project, including photographs (and their respective signed release forms) and any news releases used.
In all public statements concerning the Foundation—press releases, annual reports, or other announcements—the grantee is specifically requested to refer to the Foundation’s full name: The RCMP Foundation.
The photos will be used by the RCMP Foundation for promotion and reporting purposes. Additionally, your photos may appear on the RCMP Foundation’s website, social media, and various media publications. Please note, before submitting photographs, each child or person revealing their face must sign a permission form. If the child is under eighteen, waivers must be signed by the legal guardian or parent.
LIMITATIONS AND CHANGES
It is expressly understood that the Foundation, by making this grant, has no obligation to provide other additional support to the grantee for purposes of this project or any other purposes. Any changes, additions, or deletions of the grant must be made in writing only and must be jointly approved by the Foundation and the grantee.
Funds granted by the RCMP Foundation must be used within four months of the cheque-issue date. Should the cheque become stale-dated, it will not be reissued. If funds will not be used, it is the payee’s responsibility to contact the Foundation and make alternate arrangements within this time frame. The Foundation retains the right to request that funding be returned for any reason and without justification.
Organizations granted “last in” funding must offer proof that other funding, as per their application, has been received. This must be in the form of photocopies of the cheques or other supporting documents from other sources. These can be mailed or emailed to the RCMP Foundation.
